Advisory Board Meeting
August 17, 2015

 

Vice President Annette Hammond called the meeting to order at 9:35 am.

In attendance were members: Linda Ausplund, Wayne Slater, Rolando Salazar, Jody Johnson, Dick Dennis and Dorothy Carver.  Also in attendance were staff Laurna Mendoza, Program Coordinator of Social Services, and Carla Ludwig of PROS.

 

  1. Agenda – approved The PROS report to be moved to the beginning.
  2. Minutes – approved

 

Presidents Report –Laurna Mendoza was introduced. She is the Program Coordinator of Social Services and comes to Walnut Creek from the Antioch Senior Center.

Vice President Hammond stated that Boundary Oak has reduced their charge for the Holiday Luncheon by $400.

 

** PROS – Carla Ludwig asked to be moved on the agenda as she had to leave early.  She reports the PROS is currently working with the City on a 10 year plan for the city parks.  Last meeting they discussed the Northgate Park which is by Northgate High School and Castle Rock. Volley ball courts are being considered and neighborhood input is being taken.

 

Treasurer’s Report – The work is continuing to reconcile the books.  Total funds are $251,526 with $9620 of restricted funds.

 

Correspondence – none

 

  • Manager Update

Laurna reported that the Volunteer Luncheon will be held September 11, 2015 and the catering will be done by Havana restaurant.  She will confirm if the City or WCSC does the decorations.

 

  1. Unfinished Business
    1. Crab Feed – Jody and Linda met with MaryLou and she wants to continue to do the Crab Feed and Holiday Bingo. Linda believes MaryLou will follow the guidelines as outlined to her. Linda will help her. MaryLou has signed the agreement as drawn up by the Board and has finished turning in prior receipts.
    2. Wine and Cheese – This will be held September 17, 2015 from 5 pm to 8 pm. Tickets are on sale for $10. Annette asks that Board Members volunteer to help out. Posters are coming and an email about it will be sent to members.
    3. Volunteer Luncheon – This is September 11, 2015 at Heather Farm. The City pays for lunch and the staff works with WCSC on décor. Question as to who pays for the interpreter provided for the Deaf Club members and who pays for the decorations. Dick will look on last years accounting.
    4. Volunteers – More volunteers are needed especially for dispatch and as drivers. Laurna will put an article in the newsletter. Cindy will be asked to put an article on our Website.  Carla suggested that the article be put on the City’s website if possible and also perhaps an email to attendees of the Citizen’s Institute.  Consider the Nutshell also.
    5. Audit – Audit committee members are Wayne Slater, Dorothy Hammond and Rolando Salazar with President Fred Rentschler as an ex-officio

member. They are working on finding a date to meet in September.

  1. Advisory Board Revision – It has been suggested that the number of Advisory Board members be reduced from 16 to 12. Per Dorothy and Wayne this would involve extensive revision of the bylaws and would probably involve the retention of a parliamentarian at a cost of about $250.  Discussion led to the conclusion that the Board members at the meeting were not in favor of changing the bylaws as outlined by President Rentschler’s email of 8-15-15.(see attached).

 

 

  1. New Business
    1. Speakers series – There is to be a meeting set by the Walnut Creek Village Project for November 8, 2015 from 2 to 4 pm to explain the project. Also, Annette’s husband will do a computer lecture in the future on cleaning your computer, etc.
    2. Ambassador Report – Rolando reports that he has had no contact from the various groups. Linda has contacted Senior Outreach Services and is waiting to hear back. Dorothy stated that the last Friday Social had only 47 people despite the great entertainment.

 

  1. Announcements
    1. Trips – Jody reported that the Gold Country trip went with 25 people to Ironstone Winery, etc. On November 10th is a day trip to Carmel, December 8 is lunch at the Cliff House in San Francisco and December 13 is a Victorian Christmas in Nevada City including dinner.

A suggestion was made that the trips include some type of difficulty rating and Jody will look into this.
