Advisory Board Meeting

The meeting was called to order at 9:35 am by President Annette Hammond.

 

Present: Rolando Salazar, Fred Rentschler, Kent Clancy, Barbara Bacon, Jody Johnson, Linda Ausplund, Wayne Slater, Bob Mohler, Annette Hammond, Jeanne Wolf.  Also in attendance were Adriane Lee Bird, Vanessa Rodriquez and Preston Jones (staff), and Fred Weston (PROS). Guest Jake Van Akkeren.

Prior to the meeting beginning Jake Van Akkeran, one of 6 members of the Creakers leadership committee, spoke about concerns of safety on the field.  Lately, there has been more and more concerns about the safety of players – their own and others – due to “insufficient skills to participate safely.”  The leadership committee has come up with a statement regarding Creaker Safety and is looking to the WCSC Board to approve it to put in their handbook. This would involve the procedure for bringing the issue up, the evaluation by a committee and an appeal process should the player want to appeal any decision.  Fred made a motion that the Board approves the language as outlined in the handout.(given to the Board). The motion carried with 7 approvals and one abstention.

Treasurer’s Report – Bob reports that as of November 30, 2017 the checking account is back in the black. Receipts from dues and the Bazaar have helped. Total funds are $235,619 as of November 30, 2017. The premium for the Directors and Officers insurance was paid in November and the premium for General Liability will be paid in December. The bills are still coming in for the Holiday Luncheon. The Bazaar Group is currently in the red $4175. At the same time last year it was in the red $4709. Sales at the Shadelands boutique were $242.  Bob stated that the supplies are more than paid for by the sales but Alexandra’s salary is $7800 for the year. He asks how we are to fund the loss?

 

Correspondence – Annette read a thank you letter from Sharon Doherty, especially to Annette, Jody and Adrianne for the wine and cheese event. Sharon hopes there will be more such events in the future.

 

  1. Manager/Coordinator Update.
    1. Adriane – There has been a problem with the Drop In bridge on Tuesday afternoon wherein the “regulars” have apparently not been making the new people welcome. There was this same problem last summer and a letter was sent to the players. There are other programs that could use that room if the players continue to chase away newcomers. Preston will discuss with them Tuesday. Barbara spoke up and stated that Grant (the bridge class teacher) sends people to Concord rather than our drop in classes due to the reception of others.

The remodel of the plaza in from to the WCSC (senior center) is due to take place January through March. One door into the senior center will always be open so classes, etc can continue.

Hillendale will not continue their sponsorship of the Friday Social next year. No reason was given.

AED – This keeps getting stolen and even the Park Dept is having problems with thefts. The suggestion for now is that the AEDs be kept in the snack shack.

  1. Vanessa – There will be new tech classes in the winter – for help using a smart phone, iPad, etc. Theatre Thursday is again on February 1st. Forty people are signed up for the Crab Feed January 27th.
  2. Preston – Alexandra is reformatting the Bazaar group as to activities and certain days. The last Wednesday will be to work on their own projects.

Luke McKeever is no long going to be a van driver. He has done that job for 26 years.  All agreed that WCSC should do something in recognition. There will be an article in the February newsletter and a motion was made by Wayne and seconded by Fred to have a plaque done for him.

 

Also, Adriane stated that starting January 2 that Stacy Miller will be at the front office as temporary program assistant. Danica will move to the Front Desk to replace Lisa.

 

III  Unfinished Business

  1. Election results. Barbara stated the there were 85 ballots counted and all those running were elected, with one write-in.
  2. Mixer December 1st – There were only about 34 people in attendance (40- 50 had signed up).  There was left over food and the unopened food items will be used for the Crab Feed. The parking for the event was horrible due to the Ice Rink.  It was suggested that another mixer be done in warmer weather.
  3. Holiday Luncheon – Sixty four people attended the event at Boundary Oaks. The decorations were well done and the entertainment by Frank and Judy was well received. Annette suggested that we discuss in January another venue.
  4. Crab Feed – Kent, Bob, Fred, Rich Cereghino and Melanie will be working on it. David Lopez will do the kitchen. It is January 27th.
  5. Friday Social – Jody again brought up her concern that there are so few attendees. Only 20-30 people are there. Should it be changed to a mixer with coffee and birthday cake. For the coming Friday only 15 signed up and this is not enough to do the survey as previously planned. The Bylaws state that the WCSC must have a monthly meeting and the Friday Social has been it. Adriane has some ideas to rebrand it as a Lunch Club. She will work on this idea but in the meantime we will continue the Friday Social. Adriane has some ideas for entertainment she will work on. The lunch is currently catered by Sunrise Bistro and costs $10. The charge to attendees is $5. The Friday Social will be discussed again next meeting.

    1. Valentine Tea – Linda continues to work on it.

  2. Announcements
    1. Trips – Jody states that there will be another Yolo Wildlife Preserve trip and a trip to Sausalito to the Bay Model. Also, in April is a trip to Rome, Sorrento and Capri.
