Advisory Board Meeting
November 19, 2018

 

The meeting was called to order at 9:35 am by President Annette Hammond.

 

Present: Rolando Salazar, Jody Johnson, Bob Mohler, Cindy Mohler, Kent Clancy, Fred Rentschler, Linda Ausplund, Annette Hammond, Jeanne Wolf.  Also in attendance were Carolyn Jackson, Vannessa Rodriguez, Stacy Miller (staff) and Fred Weston from PROS.

  1. Approval of Agenda – approved.

Approval of Minutes – approved

Treasurer’s Report – Bob reported that through to October 31, 2018 total funds were $242,669 including in the checking account $30,596 unrestricted and $22,841 restricted (Creakers and $500 Bazaar).  See attached handout. The Creakers can now register online. This is new and they are getting used to it.  There was then some discussion of WCSC doing memberships, etc online. There will be more discussion next month. Halloween Bingo only has an $84 loss.

The preliminary numbers for the Holiday Bazaar are $3145 in sales (last year was $4900), $1549 expenses, $650 bonus to Alexandra. Thus about $1000 profit. Alexandra’s fee is due for the rest of the year in the amount of $1950. Bob predicts about a $7-8000 loss for the year.

The Creakers paid 6 players $500 each for operating the “Tractor Brigade” for the 2018 season.  The tractor brigade prepared the fields before each game during the season. Per Bob, Walnut Creek is the only City that doesn’t provide the preparation fee.

 

  1. Manager/Coordinator Update
    1. Carolyn Jackson – Carolyn mentioned that there is no longer a coffee machine in the Lounge but there is one in the Staff Room if needed. They are still working on the “Permit Only” for the back parking lot. Some delay due to staffing.
    2. Vannessa Rodriguez – Vannessa stated that after looking at the cost of the newsletters, she has done some research and has a proposal to cut the newsletters to every other month. ;See attached handout. The total cost of the newsletter per month is currently $1431 or $17,172 per year. Option 1 for only 6 additions would be $8586 per year. Option 2 would be the full newsletter every other month plus a single sheet on the off month with information. That would be $9439 per year or $10,002 per year for a two sheet edition. There was some discussion of the merits of each. The decision was put on hold until December and Vannessa will bring some examples of what the newsletter would look like.

Vannessa also stated that the Lunch and Learn program on nutrition had 25 people and the attendees seemed interested in the speakers cooking class coming up next quarter. The program is also to help increase the CC Café attendance.

Giving in Graditude programs are coming up:

December 7th – Food Bank. Eighteen people have signed up and there is a wait list.

March 5th, 2019 – Walnut Creek Open Space

 

  1. Stacy Miller – The Snappy Cats are retiring and December 7th is their last performance. They believe the program has run its course. They inquired about their costumes, etc that are in a closet in the Center and all agreed they could take what they wanted.

 

  • Unfinished Business
    1. Halloween Bingo – Successful with 59 people attending.
    2. Holiday Boutique – put over for discussion for next month.
    3. Holiday Mixer – A suggestion was made for a gift for Jody’s retirement. Bob made the motion, Jeanne seconded. This will be on December 14th from 2-4 pm. Fred and wife, Rolando, Linda, Kent and Jeanne will work. Barbara is getting the food through Whole Foods. Fred and Kent will do the wine. Dave Lopez will be in the kitchen.

 

  1. New Business
    1. Crab Feed – This will be held January 26th, 6:30 pm. The cost is $45 until January 9th when the cost will go up the $55. Melanie will be handling it.
    2. Valentine Tea – we need someone to be in charge. Linda is considering it.
    3. Masks – Jeanne brought up the idea of the WCSC purchasing some N95 face masks and have them available for our members should another situation arise as we had recently with the hazardous air quality. Carolyn will enquire of the City about where they get theirs. Buy in bulk. Should members then purchase from WCSC? Need further information on costs then discussion.

 

  1. Announcements
    1. Trips – Annette stated that the change is slow getting started but January and February trips are set. Lisa from the Travel Center has been good to work with.
    2. Ambassadors – Fred stated that Mark Pitzlin who is chairman of the leadership of Creakers will be sitting in on WCSC Board meetings.
    3. Blog – Cindy shows 11,338 views for 2018 to date. Last year at this time it was 9439 views so readership has increased. See handout.
    4. PROS – Fred reported that there was no meeting and the next meeting is in December.

The meeting was adjourned at 10:55 am.
