Advisory Board Meeting
December 17, 2018


The meeting was called to order at 9:36 am by President Annette Hammond.


Present: Rolando Salazar, Jody Johnson, Bob Mohler, Cindy Mohler, Kent Clancy, Fred Rentschler, Linda Ausplund,Wayne Slater, Annette Hammond, Jeanne Wolf.  Also in attendance were Carolyn Jackson, Stacy Miller (staff) and Fred Weston from PROS.

  1. Approval of Agenda – approved.

Approval of Minutes – approved

Treasurer’s Report – Bob reported that through November 30, 2018 total funds were $238,887, the checking account was $59,272. For 2018 to date revenue is greater than expenses. Per Bob, supporting WCSC is dues, interest and trips. Dues have increased compared to the same time last year.  Creakers have a new registration program.

##Skip to item III A – Bazaar

Wayne Slater has been looking into the Bazaar group regarding costs, etc. He obtained financial information from Treasurer Bob Mohler (showing an annual loss of $7500 or so) and has met with coordinator Alexandra and the group. He reported his findings by email.  After discussion the consensus was that WCSC will no longer be able to financially fund the group using the same structure.  Alexandra’s contract expires December 31, 2018. The Bazaar group was not aware of the overall loss. Alexandra offered to stay on as coordinator for another 6 months without pay.

There was discussion and the following was decided:

Alexandra will stay for another 6 months unpaid as she volunteered to do. No written contract.

There will be no Holiday Bazaar, items will be sold in the lobby cabinets.

On December 19, the Bazaar participants will come and clean out the closets and Alexandra will clean out the closet of her items.

Going forward the members can bring their own materials and keep their items or WCSC can purchase material for projects to be sold. This amount available for this is up to $2000 per year.

Fred made a motion as per above and it was seconded by Jody. The motion passed.

In attendance from the Bazaar group, during the discussion, was Joan Hackett, Heidi Ockel and Lou Weber.  A thank you was extended to Wayne and Bob for putting the information together.



  1. Manager/Coordinator Update.
    1. Carolyn Jackson – Carolyn stated that fund raising has begun to supplement the Lyft program as it has been three times more successful in the number of participants and use than anticipated.

Also, 2019 parking permits will be available on January 2nd at the Front Desk.  These will be for parking under the library and in the back lot. There will be a grace period through January.  The sticker placement will be changed. They will now be placed on the driver’s side windshield on the inside. There will be a handout given with the stickers explaining who can use the stickers, when and were the sticker is to be located.

The next topic was the updated newsletter proposal. If the WCSC goes to every other month the savings will be about $7155. A four page newsletter can be sent the off month for $420/month.   XXXX made a motion that WCSC go the bi-monthly and for the first year to the small newsletter in between.  Wayne seconded the motion and the motion passed.

  1. Vannessa Rodriguez – out ill
  2. Stacy Miller – Stacy stated that the Crab Feed is set for January 26 and tickets are on sale. Cost is $45 up until January 9th and then the cost goes to $55 until January 21. No sales at the door. Coming up is the Valentine Tea which Melanie will coordinate, the Pancake Breakfast January 6th  and Market Day January 8th. Lunch and Learn will be on Balance and Fall Prevention on January 17.


III Unfinished Business

  1. Bazaar – see above
  2. Holiday Boutique – see above
  3. Holiday Mixer – Annette stated that it went very well. She thanked those who worked and stated that she expects the Board to help at least at one event. The food purchase was fairly accurate with not a lot left over. Dave Lopez was wonderful running the kitchen.  Parking was good as it was held at Heather Farm.
  4. Nominating and Votes – There were 65 votes cast with one voided. All candidates were elected. The votes will be sealed and held for one year.


  1. New Business
    1. Crab Feed – Annette stated that Bob Lloyd will be doing the crab, three Creakers will be the bartenders and the same trio from the holiday party will provide the music, Kent will talk to Melanie about the wine as there is some left over from the Holiday
    2. Valentine Tea – This will be held February 8th and will be organized by Melanie.
    3. Credit Cards for Trips –Jody stated that Pleasant Hill Senior Club takes credit cards and that you can register online. Plus get a confirmation. Annette and Jody will check with the Travel Center about setting something up.


  1. Announcements
    1. Trips – January trips are set.
    2. Ambassador – Rolando stated that he sent an email to his groups to remind them about 2019 dues. The Walking Buddies are meeting Thursday to plan their Thursday hikes for the next 6 months.
    3. PROS – Fred was not in attendance

The next Board meeting will be January 28th.
