Advisory Board Meeting
January 28, 2019


The meeting was called to order at 9:33 am by President Annette Hammond.


Present: Jody Johnson, Bob Mohler, Cindy Mohler, Kent Clancy, Wayne Slater, Barbara Bacon, Annette Hammond, Jeanne Wolf.  Also in attendance were Carolyn Jackson, Vannessa Rodriguez, Stacy Miller (staff) and Fred Weston from PROS.

Carolyn Jackson conducted the swearing in of the 2019 Board of Directors of the Walnut Creek Seniors Club.


  1. Approval of Agenda – approved.

Approval of Minutes – approved

Treasurer’s Report – Bob reported that the Annual Report, as required by the WCSC bylaws has been completed and done according to the Generally Accepted Accounting Practices format.  Copies will be made available.  As of 12/31/18 there was $47,971 in non restricted funds and $22,841 in restricted funds for a total in the checking account of $70,812. The amount of cash increased last month mostly from the Creakers. Bob noted that the $500 bazaar restricted funds are included. Net assets as of 12/31/18 are $239,534. Of note is that the Friday Social shows a loss of $2845 up from $1326 last year (when Hillendale was subsidizing the lunch costs). The loss for the Bazaar Group was $7850 up from last year’s loss of $5672.  Trips/travel shows less of a profit from 2017 due to the phase out of Jody’s trips.

  1. Manager/Coordinator Update
    1. Carolyn Jackson – The City is updating the withdrawal policy for classes. You must drop 5 days in advance or no refund. The new newsletter will begin with the March/April edition in full and the shorter edition next. The format is currently being worked on. A volunteer was requested to work on the formatting with Vannessa and Stacy and Jeanne will help. Carolyn stated that recruitment for Program Manager is set through February 18th. She stated that the process is slow and expects a new Manager by May. She is not applying but will help out and help train the new person. Also, if the Board wants to look into online sign-ups for events and trips they will need a person from the Board to research this (no volunteers).
    2. Vannessa Rodriguez – AARP tax aid will begin next week on Thursdays from 9 am to 3 pm. Appointments are filling up. February 21st is Theatre Thursday. Coming up are three culinary classes in February and March, Giving in Gratitude March 5th in Walnut Creek Open Space, Lunch and Learn – Rainbow Community March 27th and AARP Driver refresher on February 26.  Vannessa also mentioned that Marianne Sams continues to be in poor health and could use some help on her trips.
    3. Stacy Miller – The Valentine Tea will be February 8th from 11 am to 1 pm and tickets are on sale. If there are not enough participants the event will be cancelled. The Friday Social will be a March 15 with a St Patrick’s Day theme. Annette and Stacy are looking for volunteers and coordinators. Also, June 21 is the Quarterly Social and volunteers are needed.



  • Unfinished Business
    1. Bazaar – Wayne reported that he has met 3 or 4 times with the Bazaar group as they are trying to clean out the closets. They have been successful in getting rid of quite a bit. Alexandra has not been able to show up but the group is making progress. They are waiting for Alexandra to come and identify what are her items.  Annette has taken items to the Crisis Center (bibs, etc).  The group has been unable to come up with a leader/coordinator. In the meantime, Wayne will make a list of the leader’s duties with Annette and Kent. The $500 donation to the Bazaar Group will be used first, prior to the money allocated by the WCSC. Without a leader, it will be difficult to do any purchasing with reimbursements. The Board agreed that the Bazaar group will have to come up with a leader by March 1st. Wayne will tell them on Wednesday.
    2. Crab Feed – Melanie coordinated a very successful event. There were 112 tickets sold and all attended. The Boy Scouts were a great help in serving. Vannessa and Stacy volunteered also. The 50/50 raffle brought in $450 with half to the Senior Club. Kent suggested that the tickets next time put the time the doors will be open. Also, some thought the music/entertainment should start earlier.
    3. Valentine Tea – we will know by Friday if the event will have enough attendees or be cancelled.


  1. New Business
    1. Coffee – Wayne asked that there be an easier way to get coffee for meetings (for the Investment Club). Vannessa stated that there is a cabinet with the items and coordinators will be told where the key is. There are also cookies there.
    2. Getting to Know You – Jody is suggesting a discussion group; open to all for members to get together. It was decided that the group will be led by Jody on Mondays from 10am to 12pm. An announcement will go in the newsletter.
    3. Grandparents Day – The idea was discussed but it was decided not to pursue having this activity at this time.


  1. Reports
    1. Trips – Annette stated that trips have been planned for February and March. There have been some complaints about timely confirmation. It was agreed that confirmation of the receipt of the check will be sent but the checks won’t be deposited until it is confirmed that the trip has sufficient participants.
    2. Ambassadors Reports – none
    3. PROS – Fred stated the meeting is next Monday and he will report next month.



The meeting was adjourned at 11:05 am.
