Advisory Board Meeting
July 15, 2019

 

The meeting was called to order at 9:34 am by President Annette Hammond.

 

Present: Annette Hammond, Jody Johnson, Bob Mohler, Cindy Mohler, Mark Pitzlin, Barbara Bacon, Fred Rentschler, Rolando Salazar, Wayne Slater, Jeanne Wolf.  Also in attendance were Kat Reisinger, Carolyn Jackson, Vannessa Cendejas (staff) and Fred Weston (PROS).

  1. Approval of Agenda – approved.

Approval of Minutes – approved

Treasurer’s Report – Bob stated that the $500 restricted fund of the Bazaar Group is now down to $108. Donations overall are up. This includes a $150 donation in memory of Celeste Turnee.  Overall, there is $57,800 in unrestricted funds and $23,647 in restricted fund for a total of $81,447 in the checking account as of June 30, 2019.  Unrestricted funds total are $249,589 and restricted are $23,539.  Total funds are $272,236.

  1. Manager/Coordinator
    1. Vannessa – There were 36 people at the Lunch and Learn put on by the CHP and 22 for lunch. Plant and Wine Night on July 25th has 33 people signed up so far. It appears that the use of social media helped. The average age is 56 so this is a different population.  The Lunch and Learn on September 24th will be on Dementia and Alzheimer’s.  Vannessa noted that the work on the HVAC replacement is on track to be done Friday. There have been no complaints so far. WCSC could participate in the Halloween Trunk or Treat event on October 25th which will be held in the back parking lot. Non-profit organizations have booths set up from the trunk of cars and kids come and get candy, etc from 4-6 pm. There will also be a food truck, fire engine, etc. It follows the Downtown Halloween event which is from 2-4 pm.  The question put to the Board was if we want WCSC to participate. It was decided in the affirmative and Mark will be the coordinator and we will use his trailer in two parking spaces.  Jody will talk to the Bazaar group to see if they want to make and sell Halloween items.
    2. Stacy stated that the Ice Cream Social had 41 people signed up and about 24 walk ins. (mostly kids from the park). It was very successful but it did sell out and closed early.  She also brought up the Bazaar group and funding. When they run out of the $500 donation money, how will the group be funded? After discussion a motion was made that there be allotted $600 for the rest of the year. Bob seconded the motion. Motion carried.
    3. Kat – Kat has had meetings with Annette and Jody about WCSC going forward. She wants WCSC to serve all seniors and she will support the current club events and propose and support new events.  There will be a Grandparents Day at Larkey Pool on August 16 put on by the City. WCSC was invited to participate and the decision was made that the Club will pay the fee to participate of the WCSC members and their grandchildren. Kat believes that WCSC needs better branding – i.e. logo, member cards, etc. After discussion, there was a motion by Mark to fund Melanie for $200 for 4 hours of work for a logo and style guide.  Jody seconded the motion.  The motion carried. Barbara and Mark are to work with Melanie.

Kat discussed sending an email to Walnut Creek Downtown Association about discounts for Seniors and stickers on their windows.

Water exercise classes are held at Heather Farm pool on MWF from 8-9 am for the public with a cost of $7.  Kat brought up subsidizing the cost by WCSC.  After discussion Mark made a motion the WCSC subsidize $2 of the cost from now to the end of the year at which time it will be re-evaluated. Jody seconded the motion. The motion carried.

  • Unfinished Business
    1. Luau – This went very well and everyone had a good time. There has been discussion about whether volunteers who work the functions should be made to purchase tickets. It was decided that for the upcoming Hoedown that volunteers only pay $5 of the $10 cost.
    2. Ice Cream Social – Annette thanked all the volunteers for their hard work.
    3. Hot Spot – There had been previous discussion to providing a Hot Spot for the WCSC for the treasurer and computer classes, etc. Per Kat, the City does not have a secure Hot Spot. Bill Hammond (who will do the computer classes) does not see the need to have one. Bob Mohler, treasurer, is not sure he really needs one. Mark has done some research into the cost and found that T Mobile offers 22GB/month at $85/month and $60 cost for the device. Verizon is more expensive for the device but only $75/month. It was decided to revisit this at a later time.
    4. Speaker Series – Mark has been looking on line for topics and speakers. Jody is looking into a speaker on medical marijuana. Barbara will also look into it through her doctor. Wayne will look into getting a speaker on computer use. Fred is contacting Rossmoor about speakers.
  1. New Business
    1. Hoe Down – This will be in September and will have a Western guitar player for entertainment and will be catered and cost $10 per person. It will be Friday September 20th 1:30 -3:30 pm.
  2. Miscellaneous Business
    1. Ambassadors- reports next month
    2. Grant – The $10,000 grant for Lyft by John Muir is being worked on by Bob and Kat re the fiscal sponsor agreement, insurance, etc. The City attorney and John Muir attorney will get together.
    3. Survey- This will go out to members. Annette passed around a list of 4 questions and asked members to email suggestions to her.

Trips – Jody stated that the trips are going well. There will be 36 on the French tour in July and there is whale watching in August.  In September Annette and Jody will meet with Lisa of Pleasant hill travel.

 

PROS – Fred stated that there was no meeting to report about.
