Advisory Board Meeting
September 16, 2019

 

The meeting was called to order at 9:34 am by President Annette Hammond.

 

Present: Annette Hammond, Jody Johnson, Bob Mohler, Cindy Mohler, Mark Pitzlin, Fred Rentschler, Rolando Salazar, Barbara Bacon, Jeanne Wolf.  Also in attendance were Kat Reisinger, Vannessa Cendejas (staff) and Fred Weston (PROS) Joan Hackett and Hannah Smith from the Bazaar Group.

Joan and Hannah spoke first so they did not need to remain.  They stated that the Bazaar group is going well and they are committed to keeping it going.  They will have a table for the Trunk or Treat event and sell a few things. There are a total of 24 members in the group and they have added 7 new members last year and this year.  They are doing well without a coordinator. They are trying to change the items for sale in the window weekly. They are still working to clear out excess items in the closets. They will have a November boutique on the 6th and the 13th in the room where they meet. Stacy has made flyers.

 

  1. Approval of Agenda – approved

Treasurer’s Report – Bob stated that the total funds as of August 31, 2019 are $268,968 as compared to total funds at the end of 2018 of $239,534. There has been a donation to the Creakers from Chevron in the amount of $500 into their restricted funds. Overall, membership is up, there is less loss shown on events but the trip revenue is down. The cost of the newsletter and postage has gone up by about $1000. Kat stated that after December there will be no more staff time spent on the newsletter and WCSC will need to find a replacement to do the newsletter. Independent contractor? She estimates that it takes about 36 hours a month to produce the newsletter. This needs to be addressed further.

There was some discussion about the effect on Travel by having the shorter newsletter every other month.  This makes information on trips less available. No decision.

Wayne brought up that now might be the time to update our website. He believes it is a bit difficult to navigate. Should someone be hired to update it and also to increase our presence on social media? Mark, Fred and Bob will work on this.

Friday Sing a Long accompanist is in her 80’s and will not be continuing. They put an ad in the papers and incurred a bill of $289 and want reimbursement. Jody made a motion to pay the invoice but to notify them that it is a one time basis and is out of

the ordinary. Barbara seconded the motion. The motion carried.

Correspondence – none.

 

  1. Manager/Coordinator Update
    1. Kat – Kat handed out a list of what duties of Stacy’s have been given to other staff for the time being. She also stated that there is an opening for Mini Bus driver for Wednesday mornings. Community Day is October 12th and we are doing soup for the volunteers.
    2. Vannessa – September 24th Lunch and Learn is on Dementia and about 50 people have signed up. The Halloween event for the Pre School on October 30th needs volunteers.

 

  • Unfinished Business
    1. John Muir agreement regarding funds for Lyft.-There have been no further changes. Bob made a motion we approve the John Muir agreement and fiscal agreement related to it. Fred seconded the motion. Motion carried.
    2. Hoe Down – Barbara has handed out the schedule to volunteers and everything is set to go on September 20th. Thirty eight have signed up to date.
    3. Logo – Jody will follow up with Melanie on distribution for use in our letterhead, announcements, etc.
    4. Banner for Pancake Breakfast – Jody is working on getting it to make clear the breakfast is open to all. Kat stated that the City will pay Melanie to create the banner and WCSC will pay for the cost of the banner itself. Kat will also do sandwich boards. At this point the Pancake Breakfast has about 60 people and there is much more capacity. It will be from 9 am to 11 am and the cost is $3.
    5. General Meeting January 16th – Annette is working on this. Coordinators of the different
    6. groups and activities are to give a brief synopsis of what their group does. It will have auditorium seating and champagne and cookies.  We need to get the announcement in the newsletter.
    7. Receptionists Duties – Mark, Annette, Bob and Christa are to meet on Wednesday afternoon to discuss.

 

  1. New Business
    1. Speaker Series – Jody stated that November 7th Susie Hanson from the Walnut Creek Opera will speak. Jody is still looking for a speaker on medical marijuana.
    2. Audit – Wayne stated that he finished the audit with First Republic Bank. He congratulated Bob on the great job he has been doing.

Trips – Jody and Annette will be meeting tomorrow with Lisa of Pleasant Hill Travel to plan upcoming trips.

Ambassador Reports – none

PROS – Fred has nothing to report
