Advisory Board Meeting
October 21, 2019


The meeting was called to order at 9:34 am by President Annette Hammond.


Present: Annette Hammond, Jody Johnson, Bob Mohler, Mark Pitzlin, Kent Clancy, Wayne Slater, Barbara Bacon, Jeanne Wolf, Rolando Salazar.

Also in attendance were Kat Reisinger, Vannessa Cendejas (staff) and Fred Weston (PROS).

Prior to the meeting, Kathy Junnila was introduced to the Board.  She is the new Front Desk Assistant.  She will work from 9 am to 3 pm.  She has lived in Walnut Creek for 21 years and previously was in corporate sales.


Agenda – approved

Minutes- approved

Treasurer report – Bob stated that the checking account has $44,984 in unrestricted funds and $24,215 in restricted funds for a total of $69,109.  Total net assets as of September 30, 2019 were $261,982 which is up about $22,000 from last year.  The Hoedown ended up with $511 expense to the club.  Creakers are collecting for the Fall Ball at $10 per person.  $1200 was paid to the City for field fees, etc.  The Bazaar group has used the last of their restricted funds but none of the $600 (or $100/month for the last half of the year) allocated.  Bingo has spent $866 on supplies.  MaryLou is in the hospital but her husband will try to take over Wine and Dine.

Correspondence – WCSC received a letter from the California Senior Legislature asking that their announcement be posted on our bulletin board. It invites seniors to join Friends of CSL for free and be kept apprised of news and updates on their work. After discussion it was decided to post the flier.


2). Manager/Coordinator Update

  1. Kat Reisinger – Kathy Junnila has begun at the front desk and will be working to update the Front Desk organization. There are about 200 candidates for Stacy’s position of Program Assistant II.  A panel will review the candidates and Fred Rentschler will be included on the panel.  Community Service Day was a success.  The building updates continue.  The front entry doors are being made ADA The roof will be replaced and the exterior painted next.  Work is being done to clean the area between the Assembly Hall and our building.  The November newsletter will be out soon. As to the transportation program, new minibus drivers are being recruited and Kat has been working on getting additional grant money for the Lyft program. There is no Senior Club money involved.  The program is currently $35,000 in the red.
  2. Vannessa Cendejas- Trunk or Treat will be October 25th and will have vendors there and 8 activities plus 2 taco trucks. There have been 2000 people noted as interested on Facebook but they are expecting 250 to 500 people.  Mark is working on a booth for the Senior Club.  In April is the Volunteer Luncheon at Boundary Oak.  There were 25 participants at the Medicare presentation.  MaryAnne Sams is out for October and has left Vannessa’s number to phone about trips. They should be referred to Talbot’s Tours. There was some discussion led by Jody that maybe that portion of travel could be dropped. Do we need two groups? Annette will be working more on trips next year.  Mark made a motion that next year’s trips only go through Annette’s Senior Club arrangement. Wayne seconded the motion. The motion carried.  Annette will write the letter.


3) Unfinished Business

  1. a) Webpage – Mark met with Civic Plus and they will have a new and less expensive proposal. He notes that Antioch hired their own webmaster but that has pitfalls also. He will explore what the City can do. Kat has looked into it and says that WCSC would still have to have someone keep it updated as there is no staff member to put information on it. Kat brought up that the City is interested in absorbing the WCSC. All funds would be held by the City and the Board would be only advisory.  Kat said she will work on a proposal but doesn’t have the time right now.  Mark, Jeanne, Jody and Bob volunteered to work with Kat when she has availability.
  2. b) Newsletter – Kat is doing the newsletter through the end of the year only. WCSC will have to get someone to do the newsletter in 2020. The City will still share in the cost.
  3. c) Holiday Party – It will be on December 13th and Robin Wolf is in charge. She will attend the November Board meeting with details. This brings up again about charging the volunteers that work at the functions. Melanie is not charging volunteers for the Crab Feed.  However, after discussion it was agreed that going forward volunteers should pay half.
  4. d) General Meeting – It will be held January 16 in the Assembly Hall at 10:30 am. There will be champagne, cookies and coffee. Mimosa’s to be made by Mark and Kent.


4) New Business

  1. a) Speaker Series – November 7th is a speaker on the Walnut Creek Opera. We need sign-ups! Jody has lined up “The Perrennials” a group from Stagebridge in Oakland.. Should we serve refreshments and charge $5?
  2. b) Toys for Tots- Wayne asked if we want to participate in this. It was agreed to go forward with this with a bin in the Lobby and at the December social. There will also be a food bank bin out.
  3. c) Ambassadors – Should we keep these positions on the Board? Mark made a motion that we keep the Ambassador positions and Jeanne 2nd the motions. The motion carried.  Suggestions for Ambassadors – JD, Robin Wolfe, Rana Adamson


Trips – Annette stated that there are 27 going to Cambria/Hearst Castle in December and that the trip to the 17 Mile Drive got rave reviews.

Ambassadors – no reports


PROS – Fred stated that the meeting is tonight and they are working on mission statements then it will go into funding.


Annette reminded all that Kevin Safine, Director of Parks and Rec will be attending next month’s meeting.



Meeting was adjourned at 11:35 am.
